You just won a bid, the GC needs your Certificate of Insurance by tomorrow morning, and you don't have a policy in place yet. This is one of the most stressful situations a California contractor can face — but it's also one of the most solvable. Same-day Certificates of Insurance are absolutely possible, and here's exactly how to make it happen.

What Is a Certificate of Insurance (COI)?

A Certificate of Insurance is a one-page document that summarizes your insurance coverage — the policy type, carrier, limits, effective dates, and the named insured. It's not the actual policy; it's proof that the policy exists. General contractors, project owners, municipalities, and building departments all require COIs before allowing a contractor to start work.

Why Contractors Need COIs Fast

In the contracting world, timing is everything. A GC might call you on Monday and need you on-site Wednesday. Most project contracts require proof of insurance before work begins — and some require the GC or property owner to be named as an Additional Insured on your policy. Without a COI in hand, you can't start the job, and someone else gets the work.

What You Need to Have Ready

To get a same-day COI, you need an active insurance policy. If you already have one, your broker can issue the COI within minutes. If you don't have a policy yet, here's what to have ready to speed up the process:

  • Your CSLB license number — required for most contractor policies
  • Your Federal Employer Identification Number (FEIN) or Social Security Number
  • Estimated annual payroll and revenue — insurers need this to calculate your premium
  • Number of employees — determines whether WC is required
  • The certificate holder's name and address — the GC or project owner who needs to be listed on the COI
  • Any additional insured requirements — some contracts require specific endorsement language

The Same-Day COI Process

When you call Asena Capital Insurance Services, here's what happens:

  1. We gather your information — takes about 10–15 minutes on the phone
  2. We shop carriers — we contact multiple carriers simultaneously to get you the best rate
  3. We bind the policy — once you approve the quote, we bind coverage immediately
  4. We issue the COI — the certificate is emailed to you and the certificate holder within minutes of binding

In most cases, the entire process from first call to COI in your inbox takes 2–4 hours. For straightforward policies (single-trade GL with no prior claims), it can be done in under an hour.

What If You Need an Additional Insured?

Most GCs require subcontractors to name them as Additional Insured on the GL policy. This is a standard endorsement that most carriers include at no extra charge. When you call us, just provide the GC's full legal name and address, and we'll make sure the endorsement is included when we issue the COI. The COI will show the GC as Additional Insured, which is what the contract requires.

What Types of Insurance Can Be Issued Same-Day?

  • General Liability — almost always same-day for standard contractor trades
  • Workers' Compensation — same-day in most cases; may take 24 hours for high-risk trades
  • Commercial Auto — same-day for standard vehicles
  • Contractor's License Bond — same-day in virtually all cases
  • BOP (Business Owner's Policy) — same-day for most small contractors
